Salary Certificate in the UAE: Format and How to Ask HR for One
A salary certificate is a letter from your employer confirming that you work there and what you are paid. UAE banks ask for one when you apply for a personal loan, and some embassies ask for one with a visa application. The same letter is used across the Gulf — in Saudi Arabia it is usually called a salary definition letter. Two letters are involved, and this page has both: the certificate itself, as HR issues it, and the request you send HR to ask for one.

- Printed on company letterhead, with a reference number and the issue date near the top
- Addressed to whoever asked for it — some banks ask for the certificate to be addressed to them by name
- The employee’s full name as it appears on the passport, the job title and the joining date
- The salary the way the recipient wants it: a single total, or the basic salary and each allowance on its own line
- A line saying it was issued at the employee’s request, with no liability on the company
- Signed by an authorised signatory whose name and position are printed under the signature, and stamped — some visa centres ask for exactly that
What to include
- Your full name, job title and employee number
- What the certificate is for: a personal loan, a visa application, renting a home
- The exact name of the bank, embassy or landlord it should be addressed to
- How the salary should be shown — the total only, or the basic salary and allowances listed separately
- A request for company letterhead, a signature and the company stamp, if the recipient needs them
- The date you need it by, if there is one
Which salary certificate do you need?
- For a bank — a loan, finance or a new account
- Addressed to the bank by name. UAE banks list a salary certificate among the documents for a personal loan, and some ask for it to be addressed to them specifically; banks elsewhere in the Gulf ask for the same letter. Ask the bank whether it wants the salary broken down and how recent the certificate must be, then put both in your request.
- For an embassy or a visa application
- Addressed to the embassy or consulate. Each visa centre sets its own checklist — Spain’s visa centre in the UAE, for example, asks for the certificate to be signed and to give the signatory’s full name and position. Read the checklist for the country you are applying to before you ask HR.
- To whom it may concern — for a landlord or anyone else
- A general certificate with no named addressee, for a landlord, an agent or anyone else who asked for proof of income. If they will accept it without their name on it, this is the version to keep a copy of; if not, ask HR for one addressed to them.

- 2How long it takes, and whether the salary is broken down, depends on your employer — tell HR if you need it by a particular date.
- 3When it arrives, check that your name matches your passport and that it is addressed exactly as you asked.
- 4Hand it to the bank, embassy or landlord that asked for it, and keep a copy for your records.
- 5If two recipients need one — a bank and an embassy, say — ask for two certificates, each addressed to its recipient.
